Changing Your Email Reply Address

One of the big misconceptions on the net is that your email "reply address" is somehow "real" or "correct".

In actuality, your email "reply address" is just like the reply address on the outside of a snail-mail envelope.
The email reply address tells the recipient how to write you back.

But, the email reply address can be anything. I can set my email software to have any reply address I want.

This page explains why you would want to and how to do it.

Why Change Your Email Reply Address

The biggest reason that I help people change their email reply address is so that they can use email forwarding. Email forwarding makes it possible for you to "own" your own email address and to keep that address even if you ever change ISPs.

If you own your own email address then when you move across the country, or when your ISP gets bought, or when you want to change because you got a better deal, you just change. You don't have to tell anyone that you did and everyone can keep writing you at the email address that you own.

If you are using email forwarding, then you will want your email to show your forwarding address instead of your "real" address.

For example, if you were Gaspar Aluzo and your real email address was danny.dehek@xtra.co.nz but you were using a forwarding address of danny@dehek.com, you would want your email to show danny@dehek.com. That way when people replied to you, and more importantly, when they put you in their address book, they would use your forwarding email address.

Outlook and Outlook Express

The particular steps here only work for Outlook and for Outlook Express. If you are using different email software, you will need to consult that software to identify how to change your email reply address.

Changing Your Reply Address

These steps will work in both Outlook and in Outlook Express:

1. Click on "Tools" 
2. Click on "Accounts" 
3. Click on the "Mail Tab" 
4. Click on the account labeled as your "default" account
5. Click on "Properties" 
6. Under "User Information", the "Name" is the name that will show in the reply address. You may change this if you wish.
7. Under "User Information", the "E-mail address" is the reply address that will be used as your from or reply address. This is where you change your reply address. 
8. Under "User Information", the "Reply address" is provided if you want your "From" address and your "Reply" address to be different. I recommend that you do not use this feature. Instead, place your reply address in the "E-mail address" box.
9. Click OK.

You will now have changed the address that will show as the From address when you send an email and that will be used as a Reply address when someone clicks Reply.

Let me explain...

I got a email from a person the other day and when I hit reply there email address read as canterbury.equestrian@xtra.co.nz they own the domain name www.canterburyequestrian.co.nz and I have setup a email address for them to match there website address info@canterburyequestrian.co.nz

Our server is like a postman every time any email goes to our server addressed to info@canterburyequestrian.co.nz he/she pops it into Xtra email box and in this case that is called canterbury.equestrian@xtra.co.nz I also call this your real email address (the end location of your email)

This is how my Manual explains it... (it may help readers)

Email Settings

Your Website has the following email address(es) setup:

info@newzealandnz.co.nz forwards to dehek@me.com

The purpose of this is to make your email address so that it is uniform with your Domain Name ie. Your Domain Name is www.newzealandnz.co.nz and your email address is info@newzealandnz.co.nz.

The other benefit here is that your personal email address is not exposed to the general public, thus protecting you from spam, unsolicited approaches and so on.

You can request that other email aliases be set up as needed eg. joebloggs@newzealandnz.co.nz; suebloggs@newzealandnz.co.nz; manager@newzealandnz.co.nz

You will need to let us know where these email addresses lead to eg. Joe Bloggs may be you, so those emails will go to your own email address (info@newzealandnz.co.nz). Sue Bloggs may be your daughter, who lives in London and buys goods for New Zealand's Information Network. Her emails will go to her London email address (suebloggs@london.co.uk). Your store manager, whose name may change so you just use the word 'manager', is travelling the world looking for items for your business, so her emails will forward to her Hotmail address (managerontheroad@hotmail.com). All of these private email addresses (XTRA OR CLEAR.NET, london, hotmail) will not be publicised on the site.

You are allowed up to ten email aliases at no extra cost.

Domain Name Benefits

The purpose of a Domain Name (newzealandnz.co.nz) is to give New Zealand's Information Network its own identity so that it no longer needs to use the identity of your ISP eg Clear, Xtra, IHUG etc.

If this is a little overwhelming then look at it this way: Think of it as a P O Box. New Zealand's Information Network's P O Box number is 327, Rangiora 7440. This is the actual place where our mail goes, waiting for us to collect it. However, for a more prestigious look, we can purchase our own Private Bag (like newzealandnz.co.nz), which makes our address simply Private Bag, Christchurch.

The important thing is that even if we move to Wellington our address (info@newzealandnz.co.nz) that people are familiar with remains the same, whereas if we had a P O Box with Clear, Xtra, IHUG etc and you decided to move service provider or get a new email address then things would change. By having your own Private Bag, you avoid these changes and also maintain a high profile.

It looks very unprofessional using the reply address dehek@me.com when you can be using your own identity info@newzealandnz.co.nz

To change the reply address, you only need to change one setting in your email program (Eudora, Netscape, IE Outlook etc) and you will find instructions on how to do this in all of these programs under their Help files. Alternatively, we are happy to talk you through this when you contact us.

If you are really serious about having professional looking emails then we recommend and support Eudora Pro, which is the only program that has the features that we feel are necessary and which costs less than $100. Order online at www.eudora.com

At our annual conference, we demonstrated how to deal with over 300 emails in 15 minutes by using the features of the Eudora Pro program such as Stationery, Personalities etc. Other benefits are that Eudora is less likely to be threatened by viruses and makes file handling simpler.
